Funding & Fees

Funding & Fees

Understand how NDIS funding, price limits and plan management affect support costs. Before you agree to support, we explain proposed rates, travel, cancellations and any other relevant charges in plain language. Contact us if you need an invoice explained.

Funding & Fees

NDIS funding and fees should be clear before support begins

Before NDIS support begins, ask for a clear explanation of funding and fees, including the six points listed below. Check the current official NDIS pricing information and ask for a written explanation of your proposed service rates. You can also explore what a service agreement should cover and how to use your NDIS plan.

Overview

In this guide

The main points, in plain language. Each one is explained further down the page.

Overview

How your plan is managed

Clarify whether your supports are National Disability Insurance Agency (NDIA)-managed, plan-managed, self-managed or paid through another agreed arrangement, because this affects how invoices and provider payments are handled.

Not sure where this fits in your plan?

Our team can discuss it with you, your family or your support coordinator. There is no obligation, and we use plain language.

02

Your service agreement

The service agreement should explain the supports being arranged, responsibilities, schedule, communication, changes, cancellations and how either party can review or end the arrangement.

03

Rates and price limits

Applicable rates should be explained before services begin. Where NDIS price limits apply, check the current official pricing arrangements rather than relying on an outdated price list.

04

Travel, cancellations and other conditions

Ask when provider travel, participant transport, cancellations, work completed away from your visit (such as agreed support planning) or other charges may apply so the circumstances are understood before support is delivered.

05

Invoices and service records

Invoices should identify the support delivered, date or period, quantity or duration and other information needed for the participant, plan manager or funding arrangement to understand the charge.

06

When plans or support needs change

If funding, goals, schedule, location or support needs change, raise it early so the service agreement and practical arrangement can be reviewed before misunderstandings develop.

Funding & fees

Ask for the whole cost picture

Before agreeing, discuss the rate, expected hours, timing, travel and any other permitted charges. A maximum NDIS price is not the same as a personalised quote or a guarantee that a particular support is funded.

  • Request the applicable rates in writing.
  • Check which extra costs are included or separate.
  • Ask how the arrangement affects your available funding.

Current NDIS maximum prices apply to NDIA-managed and plan-managed supports where the pricing schedules apply. Self-managed participants can negotiate prices. Check the current rules and proposed rate for your arrangement; a price limit is not a quote or a funding approval.

Funding & fees

Check an invoice against the agreed service

Understand proposed support charges and how they would be paid before agreeing.

If a charge looks unfamiliar, compare the date, type of support, duration, rate and any travel or cancellation entry with your agreement. Ask for an explanation before the issue becomes harder to resolve.

  1. 1 Keep the invoice and relevant service details.
  2. 2 Discuss concerns with the team or plan manager.
  3. 3 Use the feedback pathway if the explanation does not resolve the concern.

What it can look like

How a charge is explained

For example, before you agree to support, we explain the hourly rate, any travel charges, how cancellations work and how invoices are sent to you or your plan manager.

  1. 1 Rates explained up front
  2. 2 Travel and cancellations clear
  3. 3 Invoices easy to check

Example only. The right arrangement depends on the participant’s goals, circumstances, funding where relevant, suitability, availability and what Bright Heart Co can confirm.

Questions & answers

Frequently asked questions

These answers cover NDIS pricing, plan management and written cost information. Contact the team if your own circumstances need a more specific response.

Cannot see your question? Ask our team →

Do you publish one fixed price list for every support?

No. The applicable rate can depend on the support, timing, funding context and current NDIS pricing requirements. We recommend confirming the specific arrangement before support begins.

What is a service agreement?

A service agreement records the supports and practical terms you and the provider have agreed to, including responsibilities, schedule, communication, charges and how changes or cancellations are handled.

Does the way my NDIS plan is managed affect invoicing?

Yes. NDIA-managed, plan-managed and self-managed arrangements can involve different invoicing and payment processes. The team can explain how the proposed support will be invoiced before it starts.

What if my funding or support circumstances change?

Please let us know as early as possible. The service schedule, agreement, support level or funding expectations may need to be reviewed so the arrangement remains clear and workable.
